Overall responsibility
As an administration Officer in Nairobi, you will be responsible for overseeing a range of administrative and secretarial tasks within the firm with the primary goal of supporting the legal team, by performing a range of clerical duties including scheduling meetings and filing legal documents.
Detailed Responsibilities:
As an administration Officer in Nairobi, you will also be tasked with:
Managing filing system, control of the movement of documents in and out of the firm, procurement of office supplies, and stationaries, custodian of office equipment, supervision of the Firm’s cleanliness and visitors control.
Organize all legal documents and ensure they are updated in an e-filing system.
Answer emails and phone calls, and when necessary, redirect calls.
Edit and proofread documents.
Provide administrative support to all employees by managing the employment files, health and safety and overall tidiness of the Firm.
Ensure effective management of time, effort and resources in order to generate maximum efficiencies.
Undertake project work as required, undertaking any initiatives identified and designated from time to time by the Business Partner or other employees.
Provide status reports every week through Google docs.
Ensuring that data obtained during interactions with clients remain confidential and are stored securely.
Technical competence
To qualify for the administration Officer in Nairobi, you will also need the following technical competence:
College diploma, an equivalent or higher qualification required.
At least (1) one years’ working experience.
Excellent time-management and organizational skills.
Good written and verbal communication skills.
Proficient in the use of IT systems including Microsoft Office packages

Ability to multitask and handle multiple assignments in a complex and demanding environment.
Strong attention to detail, extremely organized.
Ability to communicate and present effectively and persuasively, in person and in writing.
